TERMS AND CONDITIONS

​​The hirer agrees, on making a booking, that they have read and accepted the Terms and Conditions and all persons using our equipment do so at their own risk.

 

1.Hiring charges

1.1 Bookings are confirmed once a completed booking form and the applicable security deposit have been received.

1.2 The following security deposits are payable at the time of booking:

  • £50 – Sleepovers

  • £100 – All Bell Tent Hire

  • £70 – Children's Corner

  • £50 – Picnics, Games Hire, Backdrops and Props

The remaining balance is due no later than 14 days before the event date. At this time, final numbers, themes and any additional extras will be confirmed. After this point, changes may not be possible.

1.3 We cover locations within a 20-mile radius of CB7 5LW. Events located beyond this radius, up to a maximum of 40 miles from CB7 5LW, will incur an additional charge of £2.00 per mile. This charge covers all additional mileage associated with the hire, including delivery, collection and any additional visits required.

1.4 The standard hire period is one night. Additional nights are available at discounted prices.

1.5 We will make every effort to set up and collect equipment at the agreed times. However, delays may occasionally occur due to circumstances beyond our control, including severe traffic congestion, road closures or accidents.

1.6 All prices are subject to change; however, prices confirmed at the time of booking will be honoured.

1.7 Equipment, props and themes shown in photographs are for illustrative purposes only and may be subject to change based on availability.

2 CANCELLATION POLICY

2.1. Bookings can be altered up to 14 days before the original date and must be mutual between the customer and The Chatty Glampers. This is subject to availability of dates and themes already booked.

2.2. Bookings cancelled more than 14 days of the party date will result in loss of the security deposit.

2.3. For bookings cancelled within 14 days of the event date, The Chatty Glampers reserves the right to charge up to 50% of the total booking value.

3. SECURITY DEPOSIT

3.1 A security deposit is required at the time of booking to secure your event date.

3.2 The security deposit will be retained until all hired items have been collected and post-hire inspections have been completed.

3.3 Provided all hired items are returned in good condition, with no loss, damage, excessive cleaning requirements, or breaches of these Terms and Conditions, the security deposit will be refunded in full within 48 hours of collection.

3.4 The Chatty Glampers reserves the right to retain part or all of the security deposit to cover the cost of any loss, damage, repairs, replacement items, excessive cleaning, or additional charges incurred as a result of the hire.

3.5 Where a refund is due under these Terms and Conditions, the security deposit will remain non-refundable if The Chatty Glampers is unable to provide the booked hire items due to adverse weather conditions, as the deposit also secures the event date and covers administration costs.

 

4. SET UP AND SPACE

4.1. The hirer/representative must be present at the agreed time for set up and pack up of the equipment.

4.2. The hirer is responsible for ensuring adequate space is available for setup. Please refer to our FAQs for information regarding mattress sizes and space requirements. We use modular bedding and mattresses in a variety of sizes to suit different age groups and room layouts.

4.3. The Chatty Glampers will not refund in full or in part the monies paid in the event that adequate space is not available to set up in.

4.4. The hirer must ensure that the area be free of furniture prior to our arrival and is clean (dirt and dust free) and is ready for the party to be set up and styled. The Chatty Glampers are not responsible for the removal of equipment to enable the party to be set up.

4.5. The hirer is responsible for all equipment while in their care.

4.6. The set up and take down of equipment must only be performed by The Chatty Glamper team.

4.7 Both our 5m bell tent and Awning requires a minimum clear grassed area of 7m x 7m for safe installation. This requirement is non-negotiable.

4.8 A secure, enclosed area must be provided for the Bell Tent set up.

4.9. The bell tent must be positioned away from overhanging trees wherever possible, as bird droppings and tree debris may stain or damage the canvas.

5.DAMAGE TO EQUIPMENT

5.1 Any damage to hired equipment may result in the security deposit being retained in part or in full. This includes, but is not limited to, stains, marks, tears, breakages or other damage to teepees, bell tents, bedding, soft furnishings, games, props and accessories.

5.2 If any hired equipment is lost, stolen, damaged, stained beyond reasonable cleaning, or requires repair or replacement, The Chatty Glampers reserves the right to retain part or all of the security deposit.

5.3 Where the cost of repair, professional cleaning or replacement exceeds the value of the security deposit, an additional invoice will be issued for the outstanding amount. Payment must be made within 14 days of the invoice date.

5.4 All charges will be based on the reasonable cost of repair, professional cleaning or replacement of the affected item(s).

5.5 Foods and drinks such as ketchup, pizza, chocolate and other strongly coloured products can cause permanent staining to bedding and soft furnishings. We therefore ask that food and drink are kept away from beds, cushions and blankets. Chewing gum is strictly prohibited.

5.6 Please ensure that any nail varnish is completely dry before using the equipment. If children are wearing make-up, we ask that it is removed before getting into bed to avoid staining bedding and soft furnishings.

5.7 Smoking and vaping are strictly prohibited in or around the teepees and bell tents. We are unable to set up equipment in smoking households. Evidence of smoking or vaping may result in the loss of the security deposit and any additional cleaning costs required to restore the equipment.

5.8 Naked flames, candles, fire pits, barbecues and any other heat sources must be kept well away from all equipment. Any candles supplied by The Chatty Glampers are battery-operated and are provided for decorative purposes only.

5.9 Pets must be kept away from all hired equipment at all times. This helps to prevent damage, staining and the transfer of pet hair, which may cause allergic reactions for future customers.

5.10 Heeled shoes and dirty footwear must be removed before entering a bell tent.

5.11 Nothing may be pinned, taped, glued, attached or hung from the bell tent canvas. Doing so may damage the fabric and compromise its waterproofing.

5.12 The hirer is responsible for ensuring that all equipment is used appropriately and is returned in the same condition as it was supplied, allowing for fair wear and tear.

5.13 Children must be supervised by a responsible adult at all times whilst using the hired equipment. The Chatty Glampers accepts no responsibility for damage caused through misuse, rough play or lack of supervision.

6.SAFETY

6.1 It is the responsibility of the hirer to ensure that children are properly supervised at all times during the event. The hirer is responsible for the care and safety of all participants.

6.2 The Chatty Glampers is not responsible for the care or supervision of children and cannot be held liable for any injury sustained during the event.

6.3 The Chatty Glampers accepts no responsibility for damage to the hirer's home, garden, venue or possessions arising from the use of the hired equipment.

6.4 It is the hirer's responsibility to ensure that all guests comply with these Terms and Conditions.

6.5 The Chatty Glampers maintains appropriate public liability insurance, safety is of the utmost importance to us.

7.ALLERGIES

7.1. Please advise us in advance if a child has an allergy to bedding or a particular washing powder so we can discuss options with you. Please note we use feathered cushions on all themes so please contact if not suitable.

7.2. The Chatty Glampers cannot be held responsible for any allergic reactions to either food (eaten during the party), or bedding.

7.3. We use quality products and follow strict hygiene routines.

8.WEATHER

8.1 Bell tents are waterproof and can be erected in wet weather. Rain alone will not affect the setup.

8.2 Bell tents can withstand normal weather conditions and moderate winds when erected correctly. However, where sustained winds of 25 mph (40 km/h) or above, or strong gusts are forecast, we reserve the right not to erect the tent for health and safety reasons.

8.3 Backdrops and props are primarily made from MDF and may be damaged or destroyed by rain. If the intended setup is outdoors, a suitable dry and sheltered backup location must be arranged prior to booking. No refund will be offered where a backdrop or balloon display cannot be installed due to the absence of a suitable alternative location, as preparation work and balloon styling will have already been completed.

8.4 Balloons are best displayed indoors and away from changing weather conditions. If the intended setup is outdoors, please be aware that balloons begin to oxidise when exposed to air, which may cause them to develop a dull or matte appearance. Balloons may also expand in hot weather or direct sunlight, which can result in some balloons popping. If the customer chooses to proceed with an outdoor setup, The Chatty Glampers accepts no responsibility for any deterioration, damage or popping caused by weather conditions.

8.5 Our rustic games can withstand light showers. However, heavy rain may cause damage and therefore the games must be protected from heavy rainfall or prolonged periods of wet weather.

8.6 In cases of severe weather, we may be unable to set up bell tents, games or other outdoor hire equipment where doing so would pose a risk to safety or damage the equipment.

8.7 Before booking, please consider a backup plan in the event of adverse weather. If your event is outdoors, we recommend discussing alternative sheltered options with your venue to ensure that games, balloons and backdrops can continue to be enjoyed should the weather change.

8.8 Where an outdoor setup cannot proceed due to adverse weather conditions, The Chatty Glampers will first seek to agree a suitable alternative indoor location or an alternative event date.

If no suitable alternative location or date can be agreed, a 50% refund of the applicable hire fee for bell tents and games will be provided. The security deposit is non-refundable. However, it may be transferred to a new booking date within 12 months of the original event date, subject to availability.
